Executive Assistant
Organization Type: Non-Profit, Faith-Based, 100+ Employees
Position Type: Full-Time; Salaried Exempt
Department: Development
Reports to: Executive Director
Hours: 40 hours per week; includes occasional evenings and weekends
Position Summary: The Executive Assistant is responsible for supporting the Executive Director, with additional support to the Board of Directors, and executive leadership as directed by the Executive Director.

Responsibilities (include but are not limited to):
Executive Support
  • Provide administrative support to the Executive Director for effective schedule management, planning, and communications
  • Create PowerPoints and other supportive materials needed for presentations and meetings
  • Assist the Executive Director with special projects and delegated responsibilities based on need and capacity
  • Manage tours of facilities with potential donors and partners
  • Assist in “moves management” with high-capacity donors
  • Coordinate with external partners to navigate Wellspring Living priorities and project details
  • Maintain accurate records of all activities and expenses
  • Oversee communication and scheduling of meetings with the Ambassador Council, the auxiliary committee supporting events and lending their expertise for strategic priorities

Board of Directors
  • Meet the administrative needs of the Chair and Board Executive Committee
  • Take notes at Board meetings
  • Assist with enlisting new Board members
  • Maintain the Board landing page and oversee the biweekly Board blog
  • Coordinate fundraising events with Board members, in collaboration with the Development team
  • Develop an ongoing reporting system for Board members
Assist Executive Leadership
  • Assist in the first day experience for new hires
  • Ensure delivery of a personal note from the Executive Director for each new hire
  • Facilitate staff tours across Wellspring Living locations
  • Provide support in other departments as directed by the Executive Director

Professional Qualifications:
  • Advanced administrative, organizational, and computer skills including use of email and Microsoft Office suite of products
  • Documentation of references (at least two professional and one personal) that attest to the person’s capability of performing the duties of the position and to the person’s suitability of working with or around children and vulnerable populations
  • Bachelor’s degree, preferably in a related field
  • Minimum 5 years of related work experience, including service as an executive assistant to a senior-level leader, preferably in a growth-phase nonprofit environment
Position Requirements:
  • Occasional travel throughout Metro Atlanta
  • Ability to lift objects up to 25 pounds and work for long periods at a computer
  • Satisfactory criminal history background check
  • Clean Motor Vehicle Record
